Are you organized, detail-oriented, and passionate about delivering exceptional customer service? BESTSELLER CANADA’s head office is looking for a proactive and versatile individual to join the team as Office Assistant.
YOUR ROLE
As the Office Assistant, you will play a key role in providing a warm and professional welcome to visitors while handling essential administrative responsibilities. You’ll maintain an impeccable organization and support internal teams in their daily operations.
YOUR RESPONSABILITIES
Reception and Greeting
- Welcome visitors, partners, and clients with professionalism to create an outstanding first impression.
- Manage incoming calls and emails, routing them to the right people.
- Maintain a clean, organized, and welcoming reception area and common spaces.
- Restock coffee stations and ensure coffee machines are cleaned regularly.
- Sort, distribute, and manage mail and deliveries for the appropriate teams.
- Coordinate travel bookings for customers.
Administrative Management
- Monitor office supply inventory and place orders as needed (e.g., paper, cartridges, snacks).
- Prepare and send administrative documents, including contracts, invoices, purchase orders, and internal communications.
- Coordinate meeting room bookings and ensure all equipment is functioning properly.
- Draft and schedule internal communications for employees.
Team Support
- Assist in setting up workstations for new employees, including keys, equipment, and system access.
- Collaborate with teams to organize internal events, such as training sessions, team lunches, birthdays, fashion fairs, and volunteering activities.
- Process sample payments for employees accurately and efficiently.
- Provide administrative support to different departments as needed.
Organization and Continuous Improvement
- Identify opportunities to improve and streamline administrative processes, proposing effective solutions.
- Maintain a fully functional, organized, and welcoming office that reflects corporate standards.
- Support special projects and provide assistance to the management team or other departments as needed.
YOUR PROFILE
- Experience: Previous experience in an administrative or office support role is an asset.
- Organized and detail-oriented: You excel at juggling multiple tasks simultaneously.
- Customer-focused: You have a knack for creating a professional and welcoming atmosphere.
- Proactive and resourceful: You anticipate needs and solve problems quickly.
- Technical Skills: Comfortable with Microsoft Office and open to learning new tools.
- Strong communicator: You are clear and professional, both written and verbal.
- Bonus: You know your way around design programs such as Photoshop, InDesign, Canva and more
